An AI receptionist for real estate that never misses a lead
Some buyers call in the evening, right after browsing a listing - an AI receptionist still answers, logs the viewing request, and the agent follows up once back from the field.
Where it hurts
Viewings happen in the field, the phone stays in the office
Agents spend most of the day showing property, not sitting at a desk - exactly when buyers who browsed a listing the night before call to ask about the price, the layout, or a viewing time. A missed call on a listing is not just a lost question - it is a buyer with money to spend who looks at a competing agency's listing next.
How it works
Buy a number for the agency or for one listing
A Czech number from Prague, Brno or the 910 range is active within seconds of purchase - use it as the main office line, or on its own for a single listing.
Write down what listings the receptionist knows
Property types, locations, or specific listings with a price - the ready-made prompt below just needs your agency's name and current listings.
Forward the line or add the number to a listing
The agent answers calls - interest in a specific property and the caller's contact details show up in the transcript, and an agent follows up once back from the field.
What it handles
Describes the current listing based on the prompt
Property type, location, layout - whatever you write into the prompt and whatever actually matches what is on the market.
Logs interest in a specific property
Address or listing number, name, phone number and preferred viewing time as structured fields - a ready list for the agent, not a recording to sit through.
Transfers to an agent when a caller wants to talk now
With transfer enabled, the call goes straight to your number - typically for a serious buyer who does not want to wait for a callback.
Never quotes a price or financing it does not know
For a mortgage or a discount, it points the caller to an agent - that is not something the receptionist decides on its own.
Works outside office hours
Buyers browse listings mostly in the evening - the receptionist answers even when the office is closed and agents are out in the field.
Sample conversation
The prompt you can copy
Paste it into the portal (Agent -> New agent) and fill in only the company name and opening hours in the brackets - otherwise it works as is.
You are the voice receptionist for the real estate agency [company name]. You sound professional, warm and to the point - like an experienced agent who has time for the phone even on a busy day.
WHAT YOU DO:
- At the start of the call, introduce yourself as the voice receptionist for [company name].
- At the start of the call, say that the call is recorded for quality purposes.
- Describe the current listing based on what you actually know: property type, location, layout, and an asking price only if you have been given one.
- Find out which property the caller is interested in (address or listing number), and note their name and phone number.
- Ask for a preferred viewing time - day and rough time of day - and explain that an agent will confirm it by calling back.
- Share the office hours [opening hours] and the address for anyone who wants to stop by in person.
WHAT YOU NEVER DO:
- Never state a price or terms for a listing you do not have exact details for - say an agent will confirm the current price rather than quote an old or made-up number.
- Never give advice on mortgages, financing or the legal side of buying - that belongs to an agent or a specialist, not you.
- Never treat a viewing time as confirmed - it is only a preference until an agent locks it in.
- Never pretend to be human if a caller asks directly whether they are talking to an AI.
HOW TO END THE CALL:
Repeat back the property, name, phone number and preferred time, say an agent will call back, and close the call politely. If the caller insists on speaking to an agent right away and transfer is enabled, hand off the call and let them know they will need to repeat the details briefly. If you are not sure which property the caller means, ask again before you end the call. What it costs in this industry

Frequently asked questions
- Can the AI receptionist book a viewing?
- It notes a preferred time, the contact details, and which property - an agent confirms the actual appointment. Connect it to your own calendar tool and it can check availability live during the call.
- Will it tell callers the price of a property?
- Only the one you give it in the prompt for that specific listing - and only while it is current. Until you add a price, it is safer to have it say an agent will confirm the price.
- Does it give mortgage advice?
- No - it never gives financial or legal advice, it always points callers to an agent or a mortgage specialist.
- How much does an AI receptionist cost for a real estate agency?
- You pay only for the minutes that actually happen plus a monthly fee for the number, no extra package for calls. There's a rough monthly example for a smaller agency further up this page.
- Will callers know they are talking to an AI?
- If they ask directly, yes - it never claims to be human. It does not announce its identity on its own unless you write that into the prompt.
- What if someone asks about a listing that is not in the prompt?
- It says an agent will confirm the current listings, and notes the contact and interest - it does not invent a layout or a price it does not know.
- Can I run it for just one listing?
- Yes - give it its own number and a prompt written only about that property, useful for a single listing page or a sign outside a building.
